Meeting Rooms

Most of our libraries have one or more meeting spaces that may be reserved by the public. Size and layout of the meeting spaces vary by library.

Designated library staff are available to answer questions and are able to approve use of the meeting spaces based solely on the District’s Meeting Room Policy. Note that library-sponsored events have priority for room scheduling.

An email address is required for online meeting room requests. If you do not have an email address, please contact your local library by phone or in person to request a room. We respond to meeting room requests within 3 business days.

Meeting Room Accommodations

Meeting rooms are available during library open hours, and public use of meeting rooms must be concluded before the library closes.

Meeting room reservation time includes room cleanup and storing away any extra equipment and furniture as posted in the room—all of which must be completed before the library closes.

Each meeting room has a projection screen and/or a display monitor with a variety of common connections, a dry erase board, and dry erase markers (available upon request).

Furniture and room setup are the responsibility of the person and/or group using the room.

Airway Heights: 50 chairs & 8 tables

Argonne: 65 chairs & 9 tables

Cheney: 54 chairs & 12 tables

Deer Park: 60 chairs & 6 tables

Fairfield: 30 chairs & 4 tables

Medical Lake: 40 chairs & 6 tables

Moran Prairie: 100 chairs & 11 tables

North Spokane: 100 chairs & 25 tables

Otis Orchards: 62 chairs & 5 tables

Spokane Valley:

Diane E. Zahand Community Room (Combined East & West): 126 chairs & 35 tables 

Program room (West): 84 chairs & 20 tables 

Flex room (East): 28 chairs & 14 tables 

Conference Rooms

Conference rooms are available at the Argonne, Deer Park, Moran Prairie, North Spokane, and Spokane Valley Libraries during library open hours.

Conference rooms accommodate 3–16 people (varies by location). Most of these rooms contain at least one large table, chairs, and a dry erase board. The conference rooms at Spokane Valley Library include digital monitors with HDMI ports as well.

The STCU Studio at Spokane Valley

To reserve time in The STCU Studio at Spokane Valley Library, you can make your request using the Book-a-Librarian Request Form. Library staff will contact you within three business days to notify you about your appointment to use this audio-visual creative space. 

Reservations & Cancellations

Reservations

Reservation requests must be submitted at least 72 hours before the event. Reservations are not confirmed until the request is approved.

Requests are limited to one reservation per month per library and may not be made more than 60 days in advance.

Cancellations

The applicant must inform the library of the need to cancel a scheduled meeting room as quickly as possible. Repeated cancellations or failure to notify may result in loss of room privileges.

Use of Meeting Rooms

Use of District meeting and conference rooms by the public is subject to the following conditions:

All activities must be open to the public and may not be restricted to any particular group. The District may elect to provide notification to the general public about activities.

All promotion or advertisement of any activity must include the following disclaimer: “Use of Spokane County Library District facilities does not constitute or imply endorsement or sponsorship by the District.” Furthermore, District associated images, including the District logo and/or photos of the library building, may not be used in the promotion or advertisement of any activity.

Meeting and conference rooms are available during library open hours.

Meeting and conference room users must adhere to posted room capacities.

Permission to use the rooms includes ordinary use of the furniture and fixtures, including chairs, tables, and kitchenette. The District does not provide kitchen equipment. Individuals or groups must provide their own supplies.

Refreshments and light catered meals may be served. Meal preparation is not allowed. A deposit may be required of groups serving food and/or beverages.

No alcoholic beverages may be served or consumed on District property.

All libraries have wireless access to the internet (Wi-Fi) available.

Furniture and room setup are the responsibility of the individual or group using the room.

Users are responsible for cleaning up and restoring the room to its original condition before leaving. Food garbage must be removed unless other arrangements are approved prior to use of the room. A cleaning/maintenance fee (minimum of $100) will be charged if the room is not left in satisfactory condition.

The person(s) listed on the registration form will be held responsible for any expense the District incurs as a result of a group’s or individual’s use of the rooms. Examples of what may incur an expense include, but are not limited to, response to a false security alarm, broken or missing equipment, and special cleaning.

Nothing may be affixed or mounted in any way to the walls except where a tackable wall surface or hanging appliances are provided.

The District assumes no liability for theft of or damage to property brought onto library property or for injury which occurs as a result of actions of sponsors or participants in activities.

Meetings of groups whose members are under eighteen (18) years old must be supervised by an adult.

Persons or groups using the meeting rooms must not distribute materials, such as leaflets or pamphlets, or solicit the purchase of goods or services outside the room.

Failure to follow meeting room policies and procedures may result in loss of room privileges.

Endorsements, Exceptions & Liability

Endorsements

No individual or group may state or imply District endorsement or sponsorship of events in District meeting or conference rooms.

A group or organization may not use the name and address of any District library as its headquarters or in the official address of the organization.

Furthermore, Library District associated images, including the District logo and/or photos of the library building, may not be used in the promotion or advertisement of any activity.

Exceptions

The District reserves the right to limit use of the rooms if use would result in interference with the proper functioning of the library. This includes, but is not limited to, creating a situation that inhibits District operations or public access to the library or its services.

Liability

The District does not assume liability for injuries to individuals or damages to personal or District property that occur as a result of actions of the sponsors or participants in activities in its meeting and/or conference rooms.
